Important information about discount rates

If you wish to benefit from the EPE and/or IEEE member registration fees, you must be up-to-date with your 2019 membership(s).

EPE member

Your EPE membership number will be required when you register.

For any member who has updated his EPE membership at the last moment, the member rate will not be available immediately for registering online. Please wait a few days before registering with the right registration fee or send the copy of your updated membership status to carte-blanche@epe.cborg.net.

Please make sure to renew your membership long enough before the deadline of fees changes as we will not be able to grant you early bird member fee if your membership information is not up to date at the days of fees’ change.

IEEE member

You will be requested to send a proof of your IEEE membership when you register (copy of your valid IEEE membership card).

Without proof of your status, you will not be able to benefit from the member registration fees. A registration confirmation will be sent by email on receipt of proof of your membership. Please send the copy of your updated membership status to carte-blanche@epe.cborg.net.

Student

If you wish to benefit from the student registration fees, you will be requested to send a proof of your status (i.e. copy of a valid student card) to carte-blanche@epe.cborg.net.
Without proof of your status, you will not be entitled to the student registration fees.

Discount countries

Young scientists (less than 30 years old) from discount countries

If you wish to benefit from the young scientist registration fees, you will be required to send a proof of your date of birth (i.e. copy of your passport) to carte-blanche@epe.cborg.net.
Without proof of your date of birth, you will not be entitled to the young scientist registration fees.

Registration confirmation

A registration confirmation will be sent by email on receipt of full payment AND proof of your status for discount rates.

Replacement by a colleague

It will be possible to be replaced by a colleague. In that case, please keep the following in mind:

Either:

• The person who is not coming, cancels his/her registration in the registration system and informs Carte Blanche who will replace him/her (*).
• The person who is replacing his/her colleague, registers normally and pays the fee that is of application at that moment. Pay attention: if the replaced person registered as an author, the replacing person also MUST register as an author.
• The person, whose participation was cancelled, will be refunded (except for 24,59€ excl. VAT (30,00€ VAT incl.) cancellation fees).

ATTENTION:

• The replacing person MUST re-upload the full paper
• The replacing person must indicate him/herself as presenter of the full paper and must upload the presentation.
• A badge and a participation confirmation will be ready for the replacing person on site.
• By following this procedure, the replacing person can request a personalized visa-letter.
• All the invoices will be issued on the name of the replacing person.

• • In this way, the organizers will, as well as possible, be able to publish the latest and most accurate information in the online programme, in the proceedings, etc…

(*) If Carte Blanche does not know who will replace the person who cancelled his/her registration, the cancellation conditions published on the bottom of this page remain valid!

Or:

• The person to be replaced does NOT cancel his/her registration.
• The person, who will replace his/her colleague, does NOT register IN ADVANCE but comes to the conference and tells us, at the “Special Request”-desk, whom he/she will be replacing.
• If he/she cannot benefit of the same registration type (EPE/IEEE-member, discount country, etc…), he/she has to pay the difference on site. There are however no refunds for differences in the opposite direction (for example if the replacing person is an EPE/IEEE-member whereas the initially registered person was not).

ATTENTION:

• In this case, the full paper does not need to be uploaded again
• The initially registered person still has to upload the presentation, and eventually complete the information about who will present the paper (So: the CV of the replacing person)
• A badge and a participation confirmation will be created for the replacing person on site.
• By following this procedure, the replacing person CANNOT request a personalized visa-letter.
• All invoices will be issued on the name of the initially registered person.

• • In this way, the name and affiliation of the initially registered person will be published in the online programme, in the proceedings, etc…

PLEASE NOTE:

• If you want to attend to a tutorial, you have to register and to pay by Wednesday 28 August. If we have NOT received your registration fees by this date, your registration will be cancelled. It will NOT be possible to make any change to your choice of tutorial or to register for a tutorial after this date.
• The organization of the tutorials is subjected to a minimum number of participants. In case of cancellation for lack of participation, participants will be offered either to participate in another tutorial or to be refunded at no cost.
• Lunch is NOT included in the registration fee. The tutorial lunch will cost 12,30 Euro VAT excl. (15,00 Euro VAT incl.) and must be booked in advance for organization purposes.

Letter for Visa

• first register for the conference and/or (a) tutorial(s) and pay your registration fees
• then request your letter using the « Letter for Visa » button

Your letter will automatically be sent to you by email as a PDF file.
You can also order a hard copy of your letter by paying an additional fee of 36.89€ excl. VAT (45€ VAT incl.) with a payment by credit card online.
